Working with applicants: board, stages and notes

Open a job and choose Applicants.
Board and table
- Board: a column per stage. Drag a card to move it, or use Move to… (it works on phones too).
- Table: filter by stage, source, applied date, ranked or not, and who's waiting; sort and page through.
- Move up to 50 people at once.
Stages
The default stages are Applied, Under review, Screening, Interview, Offer and Hired, with Not selected and Withdrawn for people who leave. You can rename, hide and reorder stages in your pipeline settings. Applied, Hired, Not selected and Withdrawn can't be changed.
Moving someone to Not selected always asks for a reason. Nothing moves on its own: every stage change is made by a person on your team.
The applicant page
- answers to your screening questions, documents and a timeline;
- the details the candidate shared from their Career Passport, each with its source;
- the match explanation in words: reasons, gaps and what they're based on. There's never a bare score;
- possible duplicates, shown as hints only.
Notes
Write team notes everyone on the job can read, or private notes only you see. Mention a colleague to bring them in. Only the author can edit a note.
Contact details and privacy
A candidate's phone and email stay hidden until they share them or reach the Interview stage. You never see a candidate's applications to other jobs.
Who sees what
Owners, admins and recruiters see every job. Hiring managers and viewers see the jobs they're added to. See team and roles.
